Document confidentiality: who sees your document

How a document shared for translation is received, who sees it, where it is never uploaded, how long it is kept, and confidentiality agreements.

The moment a document is shared for translation, the office may hold more than a text: a person’s birth, marriage, criminal record, degree or a company’s internal affairs. This page follows that document through the office: how it arrives, who sees it, where it is never uploaded, when it is deleted. The general notice on personal data is a separate page, the privacy notice under Turkish data protection law; this page deals only with the document itself.

The document is not collected through the form

The quote form on this site has no file upload field, and that is a choice rather than a gap. The form asks only what a quote needs: the type of document, the number of pages, the target language, the country and authority of use. An image of the document is not needed at that stage. A file uploaded to a web form multiplies on the server, in the email notification and in backups; a document that is never collected multiplies nowhere. When the document has to be seen, that happens after the form, inside the correspondence.

The sharing channel is agreed together

How the document is sent is not imposed; it is agreed in the first exchange. The options depend on the nature of the document: handing it in at the office, an email attachment, a time-limited sharing link, or a secure channel the holder already uses. For documents with sensitive content, such as medical records, criminal records or financial statements, delivery in person or encrypted transfer is suggested instead of email. Readers abroad may not be able to hand a document in, and for them the choice is between an attachment and a link with an expiry date; the office does not upload the document to a cloud account of its own choosing.

Who sees the document

Access is limited to the people who do the work: the project contact who prepares the quote, the translator, and, where notary certification is needed, the sworn translator who signs the translation and the notary. Whether a Turkish notary certifying a translation wants to see the original or a certified copy depends on the notary’s own practice; this site’s review found no general rule on it, and the decision is not at the office’s discretion. Nobody else sees the document: no sister company, no subcontractor, no marketing partner. The translator is bound to the office by a written confidentiality obligation; when a freelance translator is used, the same obligation applies to that person.

Which services the document is never uploaded to

Client documents are never uploaded to free machine translation or AI services. This is applied as a rule, not as a preference: once uploaded to such a service, the document is outside the office’s control. Translation is done on the translator’s own computer with tools the office controls. The glossary and translation memory kept for consistent terminology contain terms only; names, identity numbers and dates from a document are not stored in the translation memory.

Retention and destruction

If a quote was given and not accepted, the document is deleted within a reasonable period after the evaluation is complete. If the work was done, the document and its translation are kept for as long as a correction request is possible and for the statutory retention periods under Turkish law; the basis and the detail are in the privacy notice. A paper original handed in at the office is returned when the work is finished; a paper document that is not collected is destroyed after a reasonable waiting period. The holder may ask for earlier deletion, and the request is met unless a legal retention duty stands in the way.

Confidentiality agreements and questions

Corporate clients and holders of sensitive documents may ask for a written confidentiality agreement before the work starts. The agreement defines the scope of the document, the people who will access it, the retention period and the notification duty in case of a breach; the client’s own template can be used. A question about this page or a confidentiality concern goes to the address on the contact details page. The office gives no information about the content of a document to third parties; even the question of whether a document has reached the office is answered only to its holder.

Translation in the chain

Where does the translation fit?

  1. Document going abroad The sources describe two routes: an apostille on the original, or a translation certified by a notary with the apostille then confirming the notary’s signature. The receiving authority says which it wants.
  2. Foreign document used in Türkiye The sources describe an apostille in its country first, then a Turkish translation with notary certification; the Turkish institution receiving it confirms its own requirement.
  3. Sometimes none is needed Multilingual civil status extracts and some treaties remove the translation or the apostille. The authority that receives the document decides.

The translation office behind this site translates documents for these chains. Tell us the document, the target language and the country.
